At Northwest Surgical Dentistry, we are committed to providing exceptional care and a transparent experience for our patients. This Refund Policy outlines the terms under which refunds or credits may be issued for payments made for services scheduled, rendered, or planned through our office or website at www.nwsurgicaldentistry.com.

1. Overview

Due to the nature of dental and surgical services—which often involve time, materials, diagnostic evaluation, and clinical expertise—most services are non-refundable once rendered. However, we understand that unique circumstances may arise, and we are committed to addressing refund inquiries fairly and professionally.

2. Deposits and Prepaid Services

Some procedures may require a deposit or full prepayment to reserve surgical time and allocate resources. These payments help us prepare clinical staff, order necessary supplies, and dedicate treatment time specifically for you.

Refund Terms for Deposits and Prepayments:

  • Cancellations made 48 hours or more before the scheduled appointment may be eligible for a full refund or credit toward future treatment.

  • Cancellations made less than 48 hours before the scheduled appointment may result in a forfeiture of the deposit, depending on the nature of the service and resources reserved.

  • No-shows without prior notice may result in full charge or loss of deposit.

Please speak with our administrative staff if you believe you have a valid reason for late cancellation.

3. Refunds for Services Not Rendered

If you have prepaid for a service that has not yet been provided, and you decide not to proceed with treatment, you may request a refund or account credit. These requests are typically honored, subject to the following conditions:

  • The request must be made in writing by email or in person.

  • Any non-refundable administrative or consultation fees will be deducted from the total refund.

  • If diagnostic services (e.g., imaging, consultations, exams) have already been performed, fees for those services will also be deducted.

4. Refunds for Services Already Rendered

Because dental services involve irreversible procedures and individualized treatment, we do not offer refunds for services that have already been completed, including surgical procedures, consultations, or examinations.

However, your satisfaction and clinical outcome are very important to us. If you are dissatisfied with any aspect of your care or believe an error occurred, we strongly encourage you to contact our office. We are committed to evaluating concerns and may offer:

  • Additional follow-up care at no charge

  • Corrections or revisions when clinically appropriate

  • Partial account credit toward future treatment (at our discretion)

5. Insurance Payments and Refunds

If you have dental insurance, and your insurance company later pays more than expected or you overpay due to estimate inaccuracies, we will promptly issue a refund or apply the overpayment as a credit to your account, depending on your preference.

If your insurance denies or reduces coverage after treatment, you are responsible for the remaining balance. We encourage patients to verify their benefits before treatment and will assist you with claims as a courtesy.

To request a refund or account credit, please contact us by email or phone with the following information:

  • Full name and date of birth

  • Date of service or payment

  • Reason for refund request

  • Preferred refund method (original form of payment or account credit)

Refunds are typically processed within 7–10 business days after review and approval.

7. Changes to This Policy

We may update this Refund Policy from time to time to reflect changes in our practices or services. Any changes will be posted on this page with an updated effective date.

  • Valid for uninsured patients only.

  • Limited examination is problem focused only and not comprehensive.

  • X-rays may include panoramic radiograph and/or periapical/bitewing radiographs.

  • Certain teeth, primarily impacted wisdom teeth, may be subject to a higher cost. 

  • No guarantee of treatment. Treatment completion is based on a number of factors including, but not limited to, medical history, presence of pathology, and/or high risk extractions.

  • Promotion does not include any sedation services or other surgical services such as bone grafting. 

  • Payment due at time of service and subject to financial agreement.
